A Letter To Our WFM Clients

Hi there,

We are writing to share some news with you regarding Xero’s plans for the future of WorkflowMax.

You may or may not have heard but after considering many options and balancing those against other priorities, Xero yesterday announced that it will retire WorkflowMax on 26 June 2024 (in about 15 months). This means the product will no longer be available from this date.

From yesterday, no new WorkflowMax trials will be able to be started. You have 90 days from the date you created any existing trials to progress to buying WorkflowMax (if that’s what you choose to do).

That is the bad news. But don’t panic!

Here is the good news.

1.  There is nothing to do immediately.
Your WorkflowMax account has 15 months to run and the functionality and support from both BPM and Xero will remain throughout this period. If you need us, just call or email us.

2.  We’re doing the heavy lifting for you.
Here at BPM we will soon be offering specialised alternative job management products for those who want to take the opportunity to move. However, for many (most?) this will not be necessary because…

3.  Same, same but different
Xero has signed an agreement with BlueRock, a tech-led business advisory firm. BlueRock has commenced plans to offer a new job management solution with very similar functionality to WorkflowMax, which it expects to make available for customers in early 2024.

 

As part of this, BlueRock will take over the WorkflowMax brand, and its new product will be known as WorkflowMax by BlueRock.

“With the launch of WorkflowMax by BlueRock, we will be including the same features you know and love, particularly when it comes to managing jobs, billing time, and managing invoices. The experience may be slightly different to what it was; however, we know you'll be right at home, saving time with an improved and more intuitive layout.”

It is still early days but we will be closely investigating the implications for existing customers like yourself.

NEW FEATURES

BlueRock has also indicated that they intend to invest in the platform and give WorkflowMax some of the much love and care that it needs, including the addition of new features and functionality.

“We will be releasing the WorkflowMax by BlueRock solution with the addition of some new features! We have taken note of the most highly desired requests to-date; however, there is still time to ensure your voice is heard. Please head over to our community forum to submit any new feature requests you would like to be considered for WorkflowMax by BlueRock”

“We have had plenty of feedback with respect to the design of WorkflowMax and it sounds like it's time for a refresh. In the first instance, when it comes to creating jobs, adding tasks, and generating invoices, these processes will remain very similar to how they exist today. We are updating the user interface to reduce the number of clicks, and provide a more intuitive workflow for users.”

“If you’re an existing Xero WorkflowMax customer, you will be given first priority to move to the new and improved WorkflowMax by BlueRock. The conversion tool will take care of transitioning your existing WorkflowMax configurations and data into the new platform at no cost..”

TIMELINE

December 2023 - Last chance to register interest in WorkflowMax by BlueRock Beta product REGISTER INTEREST

January 2024 - Beta access for select WorkflowMax customers

Feb - June 2024 - Launch of WorkflowMax by BlueRock. WorkflowMax by BlueRock will be fully operational and available for all customers

June 2024 - Xero retires WorkflowMax. All Xero WorkflowMax customers wishing to use WorkflowMax by BlueRock should have converted by 26 June 2024.

CONVERSION

The conversion process from WorkflowMax (by Xero) to WorkflowMax by BlueRock is expected to be straightforward, hassle free, and comes with support if required.

Configurations and data will be available with your new login using a one-click conversion process, including app integrations with Xero, HubSpot, Google Drive, SharePoint, and DropBox.
